Finding The Perfect Wedding Venue
Planning a wedding is an exciting time in your life! But it can be stressful too. If you're like most brides and grooms you want everything to be perfect. After all, it's a reflection of your personal taste, an expression of who you are. Finding the perfect venue, the perfect dress, the perfect flowers, deciding on the perfect menu, everything down to the finest details, you want it all to be, well…perfect! This quest for perfection can wreak havoc on your stress levels, but try to focus on the true picture. This is an event to celebrate a beautiful union, a day that's all about you and your chosen partner, and a time to share your happiness with your loved ones. So here are a few tips to help you along the way. Because after all, being bombarded with so many decisions and a plethora of options can make even the most level-headed bride-to-be a little bit dizzy.
One of the biggest decisions you'll have to make is where you're going to host this shindig. And I'm going to focus solely on this topic for now because the venue is an important aspect. Years later your guests may not remember what they ate as an appetizer, but most likely they'll remember where your wedding was. There are some essential factors to keep in mind when finding the perfect place. First, you'll have to decide whether you want to be indoors, outdoors, or if you want a bit of both. This one's a biggie, because obviously the time of year and the weather play an important role in the success of your decision. I've been to an outdoor-only wedding in the pouring rain, huddled under a tent wishing I had worn my galoshes instead of my brand new satin stiletto shoes. I've also been to a wedding when the spring weather was absolutely, breathtakingly gorgeous, yet we were cooped up inside with no windows, confined to dim artificial light, yearning for a sunshine bask. Ideally, you'd be able to find an all-in-one location, which provides the best of both worlds. Finding something that fits these criteria will certainly ease some of the stress associated with our unpredictable Mother Nature. If it rains, save your guests' shoes and just move things inside. And if you're lucky enough to be blessed with a beautiful day, your guests will have the option of that sunshine bask. Some of the best weddings I've been to were held at places offering enough space for both, with the ceremony outside, the reception inside, and ample room to move about.
Which brings me to a second important decision: the venue's size - specifically, the reception area. Is it large enough to accommodate the number of guests you're anticipating? The owners of the venue may tell you the room fits up to 200 guests, but remember that they're trying to book an event and while the space may technically fit that many people, try to determine how comfortable they'll be. It may seem spacious enough when you take your tour, but try to envision it with all of the dinner tables, the DJ or band, a dance floor, additional room for the buffet table (if you're having one), the cake table, gift table, bar, etc. Will your guests have room to roam and mingle or will they be crowded into corners or stuck sitting in their seats? You want to be sure there's ample ‘hanging out' space for those not spending the evening on the dance floor, especially if the weather ends up nasty and the outdoors aren't an option. Most venues have photo albums or website galleries of previous events. Study these closely. They'll give you a good idea of how the space looks with all of the aforementioned additions. Or better yet, ask if you can see the venue prior to another wedding while they're setting things up.
Something you'll want to ask when choosing a venue is whether or not they allow outside catering. When my husband and I got married we had one option and one option only. Luckily for us, the caterer was phenomenal, but initially I was a little distraught that we weren't able to make the decision ourselves. Many locations these days have contracts with a few or just one caterer and will allow only them, so this is definitely something to keep in mind, because you may be locked in to paying more on food than you would if you were able to find your own vendor. Also find out whether or not your tables, linens, place settings, etc. are included with the cost. These items can really add up if you have to rent them, so it's important to know ahead of time if you'll be dishing out for those things as well. If you're planning to provide alcohol, find out if the venue has a liquor license or if you're able to bring your own.
Another aspect to consider is parking. Many brides and grooms fail to think of this. Make sure there is a large enough area to accommodate your guests' vehicles. The last thing you want is to have Aunt Hilda's car towed because she had to park in an illegal spot. You also want the area to be safe. Certainly, if you've found the absolute perfect location and then, yikes – the parking area is less than ideal, don't be dismayed. Simply make your guests aware of the situation so they can plan accordingly. If you have out-of-town guests staying at a hotel talk to the hotel to see if they offer a shuttle service. Shuttle services are always appreciated because they also give your guests a designated driver at the end of the night.
It's a huge help if your venue provides a go-to person. Some places simply give you the keys and say ‘have at it'. Others will supply a wedding coordinator of sorts whose job it is to make sure everything runs smoothly. We had the privilege of this and it was wonderful. Cindy took care of all the little details, she set the place cards, she worked with the florist, showed the band where to set up, made sure the candles were lit, the list goes on (and on!). Without her I don't think our day would have been half as amazing as what it was and I certainly wouldn't have been so relaxed. If you find yourself narrowed down to two venues you love and one offers a coordinator and the other one doesn't, I say go for the coordinator!
Mentioning candles just brought another thought to mind…be sure to ask what the policy is on them. My brother spent a lot of money on pillar candles for his tables and was told just minutes prior to the reception that they weren't allowed to burn them. While they were sitting on squares of glass (an idea borrowed from me, we did this and had no problems) they weren't contained and the venue considered them a fire hazard. Unlit candles didn't exactly provide the romantic ambiance my sister-in-law had imagined, so take it from me, this is something you'll want to ask if you're hoping to incorporate candlelight with your reception.
Of course the most important thing, before you even start looking for a venue, is to determine your budget. It is crucial that you and your fiancé discuss this prior to beginning your search. No couple wants to fall absolutely in love with a location only to find that it's way too expensive. The rental rate is the first thing you should ask when calling to inquire about a place. If they're a tad outside of your budget, consider having your wedding on a Friday evening or a Sunday afternoon. Saturdays bring peak rates, but most often you can get a pretty nifty discount for renting on a different day. Remember that all-in-one location? Having your ceremony and reception at the same place is a great way to save money. And P.S. – don't be afraid to negotiate!
Some of the other things you'll want to ask the venue are what sort of deposit is required and when are the final payments due? How many hours do you have the place and what are the charges if you decide to extend the reception an extra hour? Are set-up and clean-up provided by them or are they something you're responsible for? If so, do you have the option of setting up the day before and cleaning up the day after? It's a good idea to have your questions written down when you go to take a look, because you might be so excited to have found the perfect spot that you forget what you wanted to ask. It's easy to sign on the dotted line in a rush, especially if you're getting married during wedding season and you feel the pressure to book immediately. And always read the fine print on the contract to make sure there aren't any hidden costs. Contracts can be long and confusing, but take the time to understand what you're agreeing to.
Some of the greatest venues may be at locations you wouldn't normally think of. A diamond in the ruff might be just down the street from you! There are a realm of possibilities – bed & breakfasts, hotels/resorts, a museum/gallery, a country club or charter club, a vineyard or brewery, a friend/family member's home, a farm, ranch or old stone house, a park, theater, or even a boat. When you find the perfect spot you'll know too!
So hopefully I've given you a few things to consider. And remember to keep the true purpose of this time in your focus. Make your decisions as a couple, match them to your personality, stay on budget, and amidst the stress and planning try to enjoy the process!
